Effective communication among stakeholders
Communication Management is a critical element within Project Management Professional (PMP) practices. It encompasses the processes required to ensure timely and appropriate creation, collection, distribution, storage, retrieval, and ultimate disposition of project information. The Communication Management knowledge area includes four main processes. First is the Planning Process, where a communication management plan is developed based on stakeholder needs and available organizational resources. This plan outlines how, when, in what format, and to whom project communications will flow. Second is Managing Communications, which involves creating, distributing, and storing project information according to the communication management plan. This ensures that stakeholders receive the right information at the right time. Third is Monitoring Communications, where project communications are tracked and adjusted as needed to ensure their effectiveness throughout the project lifecycle. Effective Communication Management addresses various communication dimensions including internal vs. external, formal vs. informal, vertical vs. horizontal, official vs. unofficial, written vs. oral, and verbal vs. non-verbal. Poor communication is often cited as a primary reason for project failures. Statistics indicate that project managers spend approximately 90% of their time communicating, highlighting its significance. Project managers must consider communication barriers such as cultural differences, language proficiency, geographical distance, technological limitations, and organizational hierarchies. The Communication Management processes employ various tools including communication technology, communication models, communication methods, information management systems, and performance reporting. By establishing robust Communication Management practices, project managers can facilitate clear understanding among stakeholders, resolve issues efficiently, make informed decisions, and ultimately increase the probability of project success.
